🧑‍🏫 ALE Program Manager: Populating SLP with Classes from the SIS V2

Suppose you enroll students directly into their classes in the Student Information System (SIS). In that case, we have built a tool that allows you to migrate this information directly from there to the Subject/Course record for each student’s plan, thereby initializing plans and avoiding duplicate entries. This can be done simultaneously for a single student or en masse for all active learning plans. 

This tool is designed to help you get learning plans created at the beginning of the year or term. Beyond this initial “pull” of data, any changes made to classes in the SIS (adds/drops/withdrawals/early completions) must be manually changed in the Student Learning Plan.  

Several steps must be taken to complete this task: 

  1. A student learning plan must be initiated for each student for the current school year. 
  2. Students must be enrolled in classes in the SIS, and a successful migration must occur to allow that information to populate in the ALE application. 
  3. Courses for each class a student is enrolled in must be built in the ALE Application. 
  4. The Manage SIS Classes Utility must be used to identify which Course in the ALE app corresponds to each Class in the SIS. 
  5. Then you’re ready to complete the Execute Mass Apply of Classes from SIS to Current SLP procedure.

Manage SIS Classes Utility 

  1. Select Manage SIS Classes in the left navigation menu in the Program Manager Role. This table lists all classes associated with students who have active learning plans and are migrating from the SIS.  

  1. Using the Row Actions & Options gear will allow you to edit the ALE Course Association for each record.

  1. Select the associated course by selecting the checkmark to the far left. Click Add ALE Course, then click Update when finished.

 

  1. You must make this association for each course on the Student Learning Plans. Any classes without this association will not be transferred over when the utility is run. 

What Data Comes from Where?

When subject/course records are created in Student Learning Plans, it is important to know which data comes from which source.
