Applications: Reminders & Links For Year-End
Several administrative processes must be completed for a smooth transition before each new school year begins. The following procedures will copy all records from a given year (selected from a drop-down menu) to the current school year. These procedures are to be done AFTER the new school year has started.
Menu Path: Data Admin Role >> Configure >> Next Year

NOTE: Selecting the correct school year is crucial, as choosing the wrong school year could have undesirable consequences. If you need assistance or have questions, please contact Customer Support at support@schooldata.net BEFORE running any procedures.
Log into Homeroom Connect Data Administrator Role at {Your District}.schooldata.net/connect with your username and password.
Click Site Navigation >> Dashboards and Distributions >> Homeroom Dashboards

Navigate to the Configure >> Next Year

Copy Credit Requirements by School Year
This process will copy all of the required credit values for grades 9 through 12 from a given school year (selected from the drop-down menu) to the current school year. SchoolData.net recommends you review your district or board policy to ensure the correct credit thresholds are being used.
- From the left navigation menu, navigate to Configure >> Next Year. Click Copy Credit Requirements.
- Click the field Copy from School Year.
- Select the school year you wish to copy from. It is crucial you select the correct school year so pick the one that was just completed.
- Click Save.
Extend Person Role Access
Option #1: Extend Roles (most common)
This process will copy all permissions and roles for active persons from a given year (the previous year) to the current year.
- From the left navigation menu, navigate to Configure >> Next Year. Click Extend Person Rolve Access.
- Select the school year you just completed.
- Click Save.
Option #2: Permissions and Role Management
Instead of automatically extending all permissions and roles for active persons from last year to the current year, it may be more ideal to individually manage user permissions and roles.
- From the left navigation menu, navigate to Manage Users and People.
- Use the following menus to set and update all permissions and roles for your current year staff.
- Manage Persons
- Manage Person Roles
- Manage User Accounts
- Manage Application User Roles
- Create Application User
Halt Feeder Student Groups Creation
“Feeder groups” are pre-populated with students who will probably be enrolled in a certain grade level school in the next school year. These groups comprise students who are feeding into schools the next year.
Student feeder groups will continue to pre-populate indefinitely. However, you may not want to see them at the beginning of a school year while rosters and classes are in flux. Therefore, at the end of the school year, you can turn feeder groups off.
- From the left navigation menu, navigate to Configure >> Next Year. Click Halt Feeder Student Groups Creation.
- Click Execute Procedure.
