Purpose:
When you don't want students to be able to see or access a course in Four Year Plans (ex. the course has been discontinued or replaced, its status is still undecided, etc.), the best course of action is to deactivate it. This hides the course in Four Year Plans so that students cannot search for it or use it.
You can deactivate a Four Year Plan Course even if the course is associated to a Four Year Plan, or if a student has chosen it as one of their favorites (My Courses). It's usually better to deactivate courses rather than delete them, because once a course is deleted there will be no way to retrieve any information about the course, including any historical reference.
Method 1: Web Form
This method is best used when you want to quickly deactivate one or two courses.
- Log into Data Admin: https://[district_name].schooldata.net/admin
- Note: Special permissions are needed to access Data Admin and the Four Year Planning Admin module within. You will need approval from an administrator (principal, program director, etc.) and your district's Homeroom data admin. For more information, contact your School Data Solutions representative or email support@schooldata.net.
- Go to "Four Year Planning Admin" and then "FYP Courses".
- Search for the course in the search box at the top-right corner of the screen. You can search by course code or course name (remember to press "Enter" or "Return").
- When the course you want to deactivate pops up, click the radio button
for that course.
- Click the "Edit" button
at the bottom-left corner of the screen.
- In the pop-up web form, find "four year plan course is active" and click "false".
- Click "submit"
in the top-right corner of the pop up window.
- Repeat steps 3-7 for each additional course you want to deactivate.
Method 2: Upload CSV (spreadsheet)
This method is best for deactivating several courses at once.
- Download the blank upload template at the bottom of this page and open it.
- Log into Data Admin: https://[district_name].schooldata.net/admin
- Note: Special permissions are needed to access Data Admin and the Four Year Planning Admin module within. You will need approval from an administrator (principal, program director, etc.) and your district's Homeroom data admin. For more information, contact your School Data Solutions representative or email support@schooldata.net.
- Go to "Four Year Planning Admin" and then "FYP Courses".
- Search for the first course you want to deactivate in the search box at the top-right corner of the screen. Find the course's ID number in the "ID" column.
- In your blank upload template, type the course ID number in the "FourYearPlanCourseId" column.
- In the "FourYearPlanCourseIsActive" column next to it, type "FALSE".
- Repeat steps 4-6 for all courses you want to deactivate, then save your file.
- You are ready to upload your spreadsheet! Go back to Data Admin and click "table actions"
again on the FYP Courses page.
- Click "upload CSV..."
in the pop up menu.
- Click "Choose File..."
and select your CSV file.
- Click "Upload"

- When your upload is complete, click "close"
