Extract Data:
Extract data from wa.portal.airast.org
- Go to wa.portal.airast.org
- Select Test Coordinators
- Select Online Reporting System
- Login with your previously assigned username and password
- Select Score Reports
- From the tabs, select Reports & Files and then Retrieve Student Results
- Report Type, from the drop down select "Student Data"
- For the Test, select Smarter IAB
- For the Download Format select Excel; confirm remaining fields are:
- Step 1 settings should be:
- Administration: desired school year
- Test Grade: All Grades
- Download Format: Excel
- Filter by: All
- Step 2 settings should be:
- District: District name
- School: All
- Select Download Roster
- You will receive an email once your file is ready. Once received, return to the ORS system.
- Under My Inbox, from the Status tab, select the Download link to get a copy of the file
- Save the file to your desktop or other location (saving keeps the file in ZIP format; it is the format the Auto Loader needs.)
Auto Load:
- Log into Homeroom Admin: [districtname].schooldata.net/admin
- Select Uploads => Upload Assessment Scores => Automatic Score Loader / Review Uploads
- From the Select Loader drop-down, choose the appropriate school year "SBA IAB 2018-2019 Zip File Loader" (or whatever is the current year in the dropdown)
- From the Select Assessment Score File(s) to Upload, navigate to the SBA IAB file you saved in Step 12 above and choose the file
- Submit for validation.
- Review validation report by clicking Validation Report button - if there are any items the appear in error or scores to have been skipped, please email support@schooldata.net for assistance in sorting it out.
- The Validation Report shows which grade levels contain data to be imported and how many rows of data will be imported.
- Provides also if any SSIDs aren't valid or tests aren't recognize and skipped.
- The Validation Report opens on another browser tab. You can either close the new tab for the report or toggle back to where you had clicked the button to open it.
- Click Approve to load the file.

ORS added an additional 'Report Type' option and is no longer defaulting to "Student Data" and allowing for an Excel download. I've updated the instructions above to reflect the change. Please let me know if you have any question.

Will there be item level data for these any time in the near future?

Sorry for the delay in response. I checked in with our folks that worked on the IAB auto-loader asked your question. I was told:
"Yes, we've had districts requesting this data. The only place though we know that it's [item level data] available from ORS is in a format totally different than what gets pulled for the auto loader. I don't believe it can be built into the auto-load process, but possible with prep time it could be manually uploaded. Has the district seen it available in ORS? If so, could they send us samples of what format it can be extracted [send to support@schooldata.net]?"
