The Data Administrator for Highly Capable Student Learning Plans can add and/or edit the preconfigured selections available when creating plans. These data elements include Service Models, Communication Methods, Learner Objectives, Goal Categories, Goal Selections, Task Selections, Evaluation Methods, Eligibility Areas, and Automatic Assessments. The Data Admin can also manage referrals and user accounts and post links to district resources. Typically only 1-2 users in a district will have access to this role for configuration purposes.

You can log directly into the HiCap application with the URL [yourdistrictname].schooldata.net/V2/highly- capable-student-plans
OR from any SchoolData.net application. First, locate the application bundles in the top right corner of the screen. Next, click the SP (student plans) icon, Hc (High Cap), and Launch.
The Left Navigation will present several Role tab options:

REFERRALS (back to quick links)
There are two (2) referral tables.
- Public Referrals: Columns include: Name, Gender, School and Grade Level, Birth Date, Referrer Name, Referrer Phone, Recommendation Reasons, Constraining Factors, Referrer Email Address, and Validated.
Students may be Validated or Dismissed by clicking on the Row Actions & Options Gear at the end of each student row.
Public referrals may be entered via an unauthenticated form that any user can access: https://[yourdistrictnamehere].net/v2/highly-capable-student-plans/#/public/refer-student. Any individual can submit a referral. The form asks for information that will help identify the student.
- Referred Students: Students included in this list have been referred either by a parent, an educator or through another district process. Using the column filters provided, students can be monitored as they proceed through the referral process.
Columns include: Name, SSID, Other IDManage, School Enrollments (School, Year, Grade Level, Current Hi-Cap Enrollment), Demographics (Gender, Federal Race, Ethnicity), Referral Status (How Referred, Referred Date, Notes, Prior Year) Assessment Results (Screener Score, Qualifier Score) Program Status (Recommended for Qualifier, Parent Permission to Assess, Recommended to Committee, Enrollment Recommendation, Parent Accepted, Plan)
The Row Actions & Options Gear at the end of each student row allows for many other options.
In addition, the table may be downloaded, and columns may be arranged or toggled on/off by clicking the container action gear in the top right corner and then selecting Arrange Columns.
A pop-over window will appear; select your preferences and click Apply. Note: The arrangement options only affect this interface and are not honored in downloads.
SCORES (back to quick links)
Configure table Assessment Scores, Qualifying Scores, and Screener Scores by navigating to the left navigation menu under Scores and then clicking Data Settings Form in the top right.
A pop-over window will appear. Make your selections and click Set.
Once the table of students and their assessment results is loaded, tools can be used to sort and filter, then selected rows actions can be used to move students to the Referred Students table as desired.
MANAGING USER ACCOUNTS (back to quick links)
This table will contain records for
- All students with a HiCap Referral
- All students with a HiCap Student Learning Plan
- All parents/guardians associated with either of the groups of students above.
Columns include Name, Grade Level, Enrollment Recommended, User Roles (Student, Guardian), and Account (Account Status, Email Address, Most Recent Login).
The Student and Guardian columns indicate users with each role in the HiCap Application. The Account Status column indicates whether the user has an active SchoolData.net account. If this column is blank for any user or reads Inactive, the row action gear can be used to “Create Account.”
This action will also automatically assign the Student or Guardian HiCap user role depending on whether the user is a student or guardian. If the user already has an active account, the available row action will be to “Manage Roles.”
Selecting this will open a new form, and depending on whether the user is a student or parent/guardian, you can check the appropriate box and hit Save to assign the needed role.
If multiple accounts need to be created and/or activated, selected rows actions can be used to complete these tasks.
Additional columns provide helpful information like the user’s email address and date/time of last login to any SchoolData.net application.
Once the steps above are taken to create a user account, the first time the user logs in, they must follow the directions to reset their password.
VIEW/EDIT/REVIEW REFERENCE DATA (back to quick links)
Sample reference data has been loaded into the system for you in Service Models, Communication Methods, Learner Objectives, Goal Categories, Goal Selections, Task Selections, Evaluation Methods, Eligibility Areas, and Automatic Assessments.
You can add selections via the button at the top right or edit/delete existing records via the row action gear.
Note:
- Goals allow for four(4) different selections: Academic, Creative Productivity, Social/Emotional, and Leadership, and require an Ordinal Setting.
- Automatic Assessments have optional toggles (Assessment Test, Is Screener, Is Qualifier) indicating which assessment(s) are used as screeners and qualifiers. In addition, the Include Scores on Report toggle will determine which assessments automatically display in the “Referred Students” table.
