The Observation/Evaluation form is completed by an evaluator for Evaluatees which have been assigned to their dashboard. There may be several observations depending on the Evaluatees position level.
To begin, log in to Evaluations by either logging into Homeroom and selecting the icon in the waffle icon:
or entering this URL: (yourdistrict).schooldata.net/v2/evaluations
Once logged in, from the Evaluator Dashboard, navigate to the evaluatee for which you need to complete the form and click on their magnifying glass to access their task list.
To start the observation, click the Observation / Evaluation task (or whatever your district has named the Observation type tasks) from the left-hand frame. Then you can add any notes, files, or web links you'd prefer.
Required: Tasks marked with a red triangle must be completed as it is required. This is setup along with the Position Level (i.e. Teacher-Focused, Teacher-Comprehensive, etc) by the district.
When you are ready to begin the Observation or Evaluation, click the Open Evaluation button.
Navigating an Observation/Evaluation task
The evaluation form contains a list of criteria, or standards. Each criterion may have multiple specifications. The performance ratings for each specification may also have qualifying conditions. Each criterion may have critical attributes or key indicators which can provide additional detail.
Viewing Options
In the default view, the criteria are listed in the left frame and the performance levels in the right frame, with the notepad on the left. However, the View Options can provide you with other ways to view. To alter what is displayed, select the Viewing Options wheel and select the box next to the view option to view any options you desire.
- Show Alternate Arrangement: criterion are displayed in the WA State TPEP order by default; select this option to reorganize to your district's framework view (only able CEL or Marzano and will only appear if set up.).
- Show Notepad: the notepad is used to jot down notes as you're doing your observation, choose to hide or display this option
- Show Criteria List: from this view you can vertically scroll through all the criteria, the performance levels, notes, and any key indicators.
- Show Performance Level Descriptions: hide/show the Performance Level Descriptions from the view
- Show Notes: hide/show the note boxes from display on all the criterion
- Show Key Indicators: hide/show the Key Indicators, if setup (other names 'Critical Attributes' or 'Possible Teacher and Student Evidence')
- Show Only Focused/Required Criteria: eliminate the display of criterion that are not marked as Required or Focus. This will persist throughout the whole application. Please Note: see 'Using Criterion Markers: Required/Focus' for more details on uses.
- Show Other Task: this is used to display any other task you may want to reference during your observation, such as pre-observation questions and answers to help your observation
- Include Timestamp on Notepad: this option gives you the opportunity to input times on your notepad during your observation
The "Show Notepad" and "Show only focus/required criterion" selections affect what is printed.
Criterion Markers: Focus and Student Growth
Focus: Any criteria can be marked by either the Evaluator or Evaluatee as focused, which is done by clicking the corner triangle checkmark to turn it blue.
If the Evaluatee is on Focus for the year, either the Evaluator or Evaluaee will need to mark all criterion, including the Student Growth criterion, that are to be the focus so that on the Final Evaluation will correctly be handled.
Once a criteria has been marked as focused, each instance of the criteria will display the focus label for the entire evaluation year.
Student Growth goal: If the criteria is also a Student Growth goal it will be labeled with an orange indicator. This is part of the setup by the district.
Filling in an Observation/Evaluation task
Each criterion can have a high-level description and underneath, multiple complementary specifications. Each criterion level can have multiple performance level selection to rate the Evaluatee.
Click a criterion or sub-criterion components on the left, then on the right you can view its description, performance levels (like distinguished or proficient), and performance level conditions (ie Critical Attributes, Possible Teacher and Student Evidence, etc).
Once a criterion's performance level has been selected on the right, the indicator will show on the left what has been selected. Additionally, if any notes are added the grey note icon will instead be blue. Only one Performance Level can be selected per criterion or sub-criterion component
Some criteria may also have "key indicators" (ie 'Critical Attributes' or 'Possible Teacher & Student Evidence' or 'Possible Teacher & Student Observables") which are optional, but can help further define the Evaluatee's performance and performance level choice.
Example: The "Key Indicators" have multiple categories and by themselves below the Notes box in the Criterion.

Ensure all your notes are saved as you work by selecting the Save button. If you need to exit for any reason and do not want to save your notes select Cancel.
If you need to exit for any reason without selecting save or cancel you will receive this warning:
The Notepad
If you need to take notes during your observation, click the gear icon and select Show Notepad.
A long notepad, which is not tied to any single criteria, will be displayed. When first using the notepad it is always private, however, after sharing the whole Observation/Evaluation task with their Evaluatee the Evaluator can choose to share it by clicking Share Notepad.
You can fill out the evaluation from this view as well by clicking on the criterion list on the right and selecting your designations.
Timestamps are added when first opening the note pad and each time after. They can also be manually added if needed, or turned off from including them. You can also enter in a short cut of - "ctrl+shift+T" to enter in the timestamp on your notepad.
Minutes Observed is a way to log the minutes spent observing your Evaluatee. As minutes are added into other Observation/Evaluation tasks, on the Summary they are totaled to display a total minutes observed for the year. To add minutes, click into the Minutes Observed box and enter the number of minutes. When done typing, a notification that the minutes have been saved automatically will appear.
To Associate Highlighted Notes to Criteria highlight the text you want to associate. Once highlighted the plus sign will appear. This will take the highlighted notes and quickly associates them to an individual Criterion.
Spell Check: As you are typing notes, you'll notice a red line appears if you spell a word incorrectly. This works through your browser settings. To enable spell check in the browser, click this article.
Click the Check Mark button to save what you've done on the notepad.
Sharing the Evaluation Form
Evaluators can share their observations with evaluatees at any time by selecting the Share w/ Evaluatee button or when the Mark Complete button is clicked it is shared then as well. Either way the Evalutee receives an email letting them know it has been shared with them.
The evaluation form is now shared and the task will display a “shared” indicator. Also, the grey Read Only button will display when marked complete, as well as who completed it in green.
Printing an Evaluation Form
Evaluation forms can be printed at any time by selecting the Print button.
An email will be sent to you as well as a pdf will download within the application itself.
