Purpose:
To set up the process of migrating SWIS data into the SDS suite of applications on a nightly bases. The data will populate a student spotlight widget, be used in the creation of student groups, be used in the calculation of student risk, and will allow users to see charts and dashboards based on the data.
What you'll need:
The data in Homeroom will only be as accurate as the data in SWIS will allow. Each schools SWIS facilitator will need to ensure all students and staff have a unique ID in the person setup of SWIS. This will need to be the student's SSID or OtherID and the employee's Name ID.
All the schools will need to use consistent IDs. If the IDs aren’t already setup, a Skybuild export that generates the necessary SWIS person import file could help make the process easier. Directions:
Log into your SWIS account.
Turn on SDex; to do so click on: “Tools”, then “School Settings”. On the pop-up, click “SWIS and then “SDex Access” switch to “Yes”; copy the secure code that appears
Create an account in SDEX and log in; go to https://sdex.swis.org
On the “Schools” tab - Add your school (or district) code by entering the secure code that you copied from SWIS.
On “Batches & Downloads” tab
- Click “add” above the batch list
- Make “Batch Name” the school name
- Download type: “CSV v2 (Swis 5)”
- Security code: a unique security code
- Select “Yes/No” like in picture to right à
- Select ONE school on the right side
- At the bottom, click “Add”
- Repeat 1-7 for each school, if needed
Click on “Auto Download URL” and copy the URL produced. Repeat for each school and note the school for Step 7.
Send the URL and student value used in the file (SSID or OtherID) to your Customer Support rep or to support@schooldata.net
